Fine Jewelry Inventory Associate

Role Description

We’re looking for a Fine Jewelry Inventory Associate to join our team! This role is essential in managing and processing our jewelry inventory, including receiving, cataloging, pricing, photographing, and tagging pieces for both in-store and online presentation. The position also involves handling memo transactions, stock returns, event inventory, and gemstone tracking—requiring strong attention to detail, organization, and collaboration with our sales and production teams.

Key Responsibilities:

Inventory Processing:

  • Receive finished jewelry merchandise from the Inventory Manager and enter it into the inventory system with accurate product details, including stone variety, weight, color, metal finish, and pricing.
  • Take detailed measurements of each item for online listings.
  • Photograph and edit images for website use.
  • Print, trim, and ticket product tags for neat and professional display presentation.
  • Process all incoming and outgoing memo items, ensuring accurate documentation and updates.
  • Liaise with sales professionals regarding short-term memo requests and ensure timely returns or status updates.
  • Handle stock and memo Return to Vendor (RTV) processes, including packaging, shipping, and ensuring accurate documentation for Accounts Payable (A/P).
  • Re-price inventory as directed by the Inventory Manager.
  • Generate and report sold memo items monthly.
  • Prepare and process inventory for trunk shows and special events.

Gemstone Inventory Management:

  • Receive diamonds and gemstones from the Production team and enter into our inventory system.
  • Maintain accurate short- and long-term memo pricing as directed.
  • Process and document all gemstone and diamond returns.
  • Conduct weekly inventory audits to ensure physical and system accuracy.
  • Manage diamond return processing, verifying weight, inscriptions, and original paperwork for returns.
  • Prepare and oversee shipments to vendors and designers for returns and repairs.
  • Deliver diamonds, gemstones, and jewelry to and from G.St as needed.
  • Assist with special projects as assigned.

Qualifications & Skills

  • Prior experience in inventory management within in the jewelry industry.
  • Strong gemstone knowledge
  • Ability to read diamond inscriptions and use diamond tools such as the loupe and tweezers.
  • Strong proficiency using inventory systems.
  • Detail-oriented with excellent organizational skills.
  • Ability to accurately measure and describe jewelry pieces.
  • Strong communication skills and ability to collaborate across departments.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.

Physical Requirements:

  • Ability to stand, walk, and move for extended periods.
  • Ability to lift and carry up to 5 pounds as needed.
  • Manual dexterity to handle small items such as jewelry, gemstones, and packaging materials.
  • Ability to reach, bend, stoop, and perform repetitive tasks.
  • Visual acuity to inspect fine details of jewelry and gemstones.
  • Ability to work in a fast-paced environment and manage multiple tasks simultaneously.

Workdays & Hours:

Monday – Friday: 9:30am – 6:00pm.
